A missed appointment is the most expensive slot in your calendar: the therapist or trainer is paid, the room is empty, and someone else who wanted that time was turned away. The good news is that most no-shows are preventable with a few clear rules, applied the same way every time.
1. Decide your cancellation cut-off, and write it down
Pick one number: how many hours before the start a client can cancel for free. 24 hours is common for one-to-one appointments, 6 to 12 hours for group classes. Anything later is a late cancellation.
The important part is consistency. If one receptionist waives the rule and another does not, clients learn to argue. In Nestwell the rule in force when the booking was made is saved on the booking, so changing your policy later never surprises anyone who already booked.
2. Make late cancellations and no-shows cost something
The fairest cost for a package client is the session itself: a late cancellation or no-show uses the credit as if they had attended. Decide separately for late cancellations and no-shows, and for appointments and classes. Many studios are strict on no-shows but forgiving on late cancellations for classes.
3. Book only what is paid for
Visits booked without a package are the ones most often missed. Require an eligible package to book, and let only managers authorise an unpaid visit, with a reason. Nestwell keeps those visits marked unpaid until a package is attached.
4. Mark no-shows automatically
If staff have to remember to mark no-shows, they will not. Set a grace period (for example 30 minutes) after which a visit that was never checked in becomes a no-show, and the credit follows your rule.
5. Fill the gap
When someone cancels a class place, the next person on the waitlist should get it without a phone call. Automatic waitlist promotion, with a cut-off a couple of hours before the class, turns a cancellation into a full room. Read more in Class waitlists that actually fill empty spots.
6. Make check-in effortless
Clients who can check in by scanning a QR code at a kiosk arrive on time more often than clients who queue. Fast check-in also means your no-show numbers are accurate.
A simple starting policy
| Situation | Suggested rule |
|---|---|
| Cancel 24 h or more before | Free, credit returned |
| Cancel inside 24 h | Late cancellation, credit used |
| No-show | Credit used |
| Class cancelled by you | Everyone's credit returned |
