Most scheduling tools were built for one country and one kind of business. If you run a gym, spa, clinic or studio in India, here is what to check before you choose.
1. Invoices that work for GST
Your invoices need your GSTIN and billing details, the client's company details when they ask for them, and a clear tax breakdown. Check that tax-inclusive prices are split correctly and that refunds create proper credit notes rather than editing old invoices.
2. Payment methods your clients actually use
Cash, card, UPI and bank transfer, often mixed in one bill. Look for split payments, part-payments with a balance, and a cash register you can count and close every evening.
3. Packages, not just appointments
Wellness businesses sell sessions in advance: 10-session packs, monthly memberships, family plans. The software must reserve a session when a client books, use it when they attend, and follow your rules when they cancel. Ask to see the history of a single package.
4. Several branches, one view
If you have, or plan, more than one location, each branch needs its own hours, staff, rooms and register, while owners see everything together. Staff should only see the branches they work at.
5. Front-desk speed
Peak hours decide whether the software helps or hurts. Check QR or kiosk check-in, checking in a whole family at once, and a global search that finds any client in a second.
6. Roles and control
Who can give discounts, refund money or see health notes? Permissions must be enforced by the server, not just hidden buttons, and every sensitive action should be recorded.
7. Data protection
Under India's Digital Personal Data Protection Act you are responsible for your clients' data. Ask where data is stored, who can access it, how health information is protected, and whether you can export everything.
8. Support and setup
